Duties:
•Oversee daily office operations to ensure an efficient workplace
•Provide reception duties, including answering and referring telephone inquiries, and welcoming visitors by greeting and directing them appropriately
•Identify and report any issues related to facilities, equipment, cleaning, security, or building services, and coordinate with contractors and building management as required
•Support office and equipment maintenance, as well as cleaning services
•Arrange for the dispatch of incoming mails or documents received at the reception counter
•Monitor and evaluate contractor performance
•Verify invoice details and assist in arranging payments
•Assist in the procurement process by obtaining quotations and preparing procurement applications
•Provide administrative support for events and meetings
•Perform documentation duties such as filing and data entry
•Undertake other duties as assigned by supervisors
Requirements
•University degree or equivalent preferred
MUST pass in five subjects, including Chinese Language and English Language (“Syllabus B” before 2007), at Level 2 / Grade E or above in the Hong Kong Certificate of Education Examination, or at Level 2 or equivalent or above in the Hong Kong Diploma of Secondary Education Examination.
•Minimum 4- 6 of solid working experience in administrative duties
•Mature, responsible and reliable
•Strong service orientation and proven service delivery skills, with a high level of responsiveness
•Excellent communication, interpersonal and organisational skills
•Proficiency in MS Word, Excel, PowerPoint and Chinese word-processing
• Willing to work during non-office hours when required
